This Privacy Policy describes how we handle personal information in connection with our platform, services, and related interactions. We are bound by the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth).

2. Information We Collect

2.1 Information You Provide

  • Account registration details: name, email address, phone number, password
  • Profile information: work history, education, skills, certifications, location preferences
  • Resumes and cover letters uploaded to the platform
  • Job applications and saved jobs

4. Data Storage and Retention

Your data is stored on secure servers located in Australia (AWS ap-southeast-2 region). We implement industry-standard security measures including encryption at rest and in transit, access controls, and regular security audits.

4.1 Resume Archival Policy

  • Active storage (0-90 days): Resumes are stored in high-availability storage for active use, matching, and application processing.
  • Infrequent access (90 days - 1 year): After 90 days of account inactivity, resumes are moved to infrequent access storage (AWS S3 IA). They remain accessible but with slightly longer retrieval times.
  • Archive storage (1-2 years): After 1 year of inactivity, resumes are archived to AWS Glacier. Retrieval may take up to 12 hours.
  • Deletion (2 years): After 2 years of account inactivity, resumes and associated personal data are permanently deleted, unless retention is required by law or the user requests earlier deletion.

4.2 Other Data Retention

  • Account data: retained while your account is active, plus 30 days after deletion request
  • Application history: retained for 2 years after the application date
  • AI scores and prep guides: retained while your account is active
  • Anonymised analytics data: may be retained indefinitely for research purposes
  • Payment records: retained for 7 years as required by Australian tax law

5. Disclosure of Information

We may disclose your personal information to:

  • Recruiters and employers when you apply for jobs or opt into candidate searches
  • Service providers who assist in operating our platform (hosting, analytics, email)
  • Professional advisers (lawyers, accountants, auditors)
  • Government authorities when required by law
  • Third parties in connection with a merger, acquisition, or asset sale

We do not sell your personal information to third parties for marketing purposes.

6. Resume Anonymisation

Our platform offers optional resume anonymisation, which removes identifying information (name, photo, age indicators, gender markers) from applications during the initial screening process. This feature is designed to reduce unconscious bias. Identifying information is revealed only when a recruiter shortlists a candidate.

7. Cookies and Tracking Technologies

We use cookies and similar technologies on the InnoMYLE Jobs platform. Cookies are small text files stored on your device when you visit our website. They help us deliver a functional, personalised experience and understand how the platform is used.

7.1 Types of Cookies We Use

Essential Cookies

Required for core platform functionality. These cookies manage your login session, remember your authentication state, and maintain security tokens (CSRF protection). The platform cannot function correctly without these cookies. They cannot be disabled while you are logged in.

Preference Cookies

Remember settings you have chosen, such as your preferred job search filters, notification preferences, and display options. These improve your experience by restoring your preferences between visits.

Analytics Cookies

Help us understand how the platform is being used so we can improve it. We collect anonymised data about which pages are visited, how users navigate between sections, which features are used most, and general performance metrics. This data does not identify individual users.

Provider: AWS CloudWatch (first-party analytics). No Google Analytics or third-party ad tracking.

7.2 Analytics Data Collection

We collect anonymised analytics data to monitor and improve platform performance. This includes page load times, feature usage patterns, search query volumes (without identifying terms), error rates, and conversion metrics (e.g. application completion rates). All analytics data is stored in Australia and is not shared with third-party advertising networks.

We do not use cross-site tracking cookies, retargeting pixels, or third-party advertising cookies. Our analytics are first-party only.

7.3 Managing Cookies

You can manage or delete cookies through your browser settings. Note that disabling essential cookies will prevent you from logging in and using authenticated features. Most browsers allow you to view and delete individual cookies or block cookies from specific sites. Refer to your browser's help documentation for instructions.

8. Your Rights

10. AI and Automated Data Processing

InnoMYLE Jobs uses artificial intelligence to deliver several platform features. This section explains how your data is used in AI processing and what that means for your privacy.

10.1 AI Readiness Scoring

When you apply for a job, our AI analyses your resume, profile, and the job description to calculate a readiness score. The inputs to this calculation include your stated skills, work history, education, certifications, and the specific criteria listed in the job advertisement. The resulting score and breakdown are visible to both you and the recruiter.

Readiness scores are advisory only. They are not automated decisions within the meaning of any data protection regulation — a human recruiter makes the final assessment. Scores do not factor in age, gender, ethnicity, or any other protected characteristic.

10.2 AI Preparation Guides

Preparation guides are generated using your profile data and the job details. The content is produced by a large language model (LLM) and is personalised to you. This processing happens in a secure environment and the output is stored against your account for your reference.

10.3 AI Training Data

We use aggregated and fully anonymised platform data to improve our AI models over time. This means individual profiles, resumes, and application data are stripped of all personal identifiers before being used in model training or evaluation. Your personal data is never used in AI training in a form that could identify you.

10.4 Your Rights Regarding AI Processing

You may request a plain-language explanation of how your readiness score was calculated for any application. If you believe a score is inaccurate or was generated based on incorrect data, contact us and we will review it. You can also request that your data be excluded from any future anonymised model improvement activities.

11. Children's Privacy

Our platform is not intended for use by individuals under the age of 15. We do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via email or a prominent notice on our platform. Your continued use of the platform after changes constitutes acceptance of the updated policy.
